Why Having an On-site Calligrapher is a Game Changer

Do I need an on-site calligrapher?

If you’re asking yourself this question, the answer is probably yes!  

We know that organizing a big event involves many challenges and variabilities. And there are a surprising number of variables that involve the paper elements of your event.   Having worked in the “world of paper” for almost two decades, we can tell you many stories of when our on-site calligraphy services proved invaluable on the day of a big event.  

Here are three reasons why you might need an on-site calligrapher for the day of your event:

  1. A VIP guest arrives who never RSVP’d.

Sometimes people just aren’t very good at RSVP-ing!  But like any gracious host, you welcome them to the event without any indication of surprise.

It’s probably easy to find an extra seat for them, but do you have a place card? Do you have a customized welcome bag? 

Of course, you do! Because your on-site calligrapher will create all the necessary paper elements that ensure this guest is welcomed and taken care of like everyone else. Crisis averted!

  1. Someone brings an unannounced plus-one.

This problem is a little trickier. An extra place card is a simple fix, but what about the seating chart?

  1. There are a lot of paper elements to organize, and your team may be overwhelmed already.

This issue comes up more often than you might think.  

We’ve worked with many event planners who’ve ordered a beautiful selection of paper pieces for their events. But they have trouble managing the sheer bulk of the materials they must organize on an already busy event day.

In fact, the average event has between 10 and 20 paper and gift elements to organize in the days leading up to the occasion, which could be a multi-day event.  All told the average event could easily have 1,500+ individual pieces of paper to organize.

Fortunately, organizing all of these elements is very simple when you have a calligrapher on site. In addition to lettering and writing services, your on-site calligrapher should be able to help you organize and correctly lay out all paper elements for the event.  

This includes:

  • Setting place cards, escort cards, and seating plans.
  • Assembling welcome bags with itineraries and welcome notes.
  • Distributing the overall signage throughout the venue.
  • Making all necessary edits and modifications along the way.
